OVERVIEW

What the service was

In December 2014 we began a new business: entry management for sports events, and timing for races and similar events. By connecting everything from accepting entries to timing on the day into one flow, we aimed to reduce the effort and mistakes of organizers. It was not limited to trail running and covered many kinds of events.

ENTRY

Entry management

  • A dedicated entry site built with Ruby on Rails, accepting credit cards and payment at convenience stores
  • Run on servers that can withstand a rush of access
  • A lottery mode is also available to avoid the click race when entries open
  • Waiting lists promote the next person when a winner cancels. Participants can cancel even after entering and receive a refund minus fees
  • Race results display and printable finisher certificates
TIMING

Race timing

  • A timing system developed in-house. The chips can be disposable, so nothing has to be collected afterward
  • Chips can be mailed in advance together with bibs and event guides, which makes check-in on the day before and the day itself much easier
  • Chips come in a type stuck on the back of the bib and a type worn on the wrist. Wrist chips are also available in a reusable version, and a logo can be printed to make them a keepsake
  • Readers include a touch type you hold the chip against, a high-power antenna type that reads from a distance, and a handheld type for checkpoints deep in the mountains
  • There is also a photoelectric type accurate to 1/1000 of a second, developed for canoe slalom and race rafting

Track record

At the Three Peaks Yatsugatake Trail Race, about 50 people were promoted from the waiting list.
